How to choose cold email software

A cold email tool does three jobs: it spreads sending across many mailboxes so no single inbox carries the volume, it runs the sequence and stops it the moment someone replies, and it gives you enough signal to know whether you are landing in the inbox at all. The first job is the one that changed the category. Serious senders no longer push volume through one or two accounts; they rotate across dozens of inboxes on separate domains, each sending a modest daily number, and the software's value is in making that fleet manageable.

Pricing follows that shift. Flat-rate senders like Instantly, Saleshandy and Woodpecker charge for the platform rather than per mailbox, which is what makes a large inbox fleet affordable. Seat-based and Gmail-native tools like GMass and Mailshake are simpler and cheaper for a founder sending from a handful of accounts, but they inherit the limits of the mailboxes they sit on. Enterprise platforms like Outreach are a different purchase altogether: annual contracts, CRM-grade workflows and an admin burden that only pays off for a large sales team.

Deliverability is where the marketing and the reality diverge, and it is worth being blunt: no sender fixes a bad setup. Authentication, domain age, list quality and copy decide placement; the tool only amplifies what you give it. Warmup scores in particular measure the warmup network, not your prospects' inboxes. In our own sending we measured zero human replies from 925 prospects contacted through Microsoft 365 mailboxes, against 15 from 1,780 through Google Workspace, with the same copy and lists and every dashboard reporting green.

Multichannel sequencers sit one step up. Tools like lemlist and La Growth Machine run LinkedIn steps alongside email and often find the email address for you, which is genuinely useful for founder-led and small-team outbound. The trade-off is price per seat and depth per channel: if email carries most of your motion, a dedicated sender will be cheaper and give you finer control over the mailbox fleet.

Our take. For most outbound teams a flat-rate sender with inbox rotation is the right core, and the choice between them matters less than the setup behind it. Judge placement on reply and auto-reply rates rather than the warmup score, give every mailbox its own limits and sending gap, and only move to a multichannel sequencer when LinkedIn genuinely carries part of the motion. Enterprise platforms earn their price when you run a large team through a CRM, not before.

Do warmup tools guarantee inbox placement?

No. Warmup builds reputation inside a network of cooperating inboxes, so a high warmup score tells you the network likes you, not that your prospects' providers do. We have seen warmup scores at their maximum on mailboxes that produced no human replies at all. Measure placement on real signals instead: reply rate, bounce rate, and the auto-reply rate, since an out-of-office message only fires when your email reached the inbox.

Is Google Workspace or Microsoft 365 better for cold email?

In our own five-week comparison with identical copy, lists and sending windows, Google Workspace mailboxes produced 15 human replies from 1,780 prospects while Microsoft 365 mailboxes produced none from 925, with authentication and blocklist checks clean on both. That is one company's data, not a law, but it is a strong reason to test both before committing a fleet to one provider.
